Still No Good Option For Backup OST Mailboxes As Office 365

Aryson Office 365 Backup & Restore is a risk-free & reliable Office 365 Backup utility that allows you to take the backup of Office 365 mailboxes into various file formats. It takes backup of Office 365 mailboxes into PST, MBOX, PDF, EML, EMLX, MSG, and other file formats on your local system or pc. It also restores mailboxes of PST/OST files into the Office 365 account.

Still No Good Option for Backup OST Mailboxes as Office 365

Aryson Office 365 Email Backup Tool is the top utility that allows users to back up or migrate Office mailboxes to various file formats and email clients. Using this software, users can backup and migrate Office 365 mailboxes to PST, PDF, MSG, MBOX, Gmail, Yahoo, GoDaddy email, Yandex, Amazon Webmail, IMAP, etc.

Office 365 Email Backup Tool provides multiple saving options to backup the Office 365 accounts data. Using the software, users can take backup of Office 365 emails into PST format without any alteration of data. The software keeps the folder hierarchy as the original hierarchy after the backup.

Yandex Mail provides a storage space of 10 GB, and for some organizations, the given storage space is not sufficient. There are a few more reasons that insist users for backup of Yandex mailboxes like Prevent data from accidental deletion, keeping a copy of important emails, access data offline, etc. In such a situation, Aryson Office 365 Backup & Restore Tool plays a major role. Using this software, users can completely backup their Yandex mailboxes.

The assign impersonation rights checkbox enables to use multiple mailboxes at a single time. If you are using it during Backup then you can take backup of multiple mailboxes of the Office 365 account and if the restore option is selected then you can restore PST files to multiple available mailboxes on O365 account.

Step 4: Here a list of Admin and their mail user ID will appear. After that, you have to select a backup option like Mailbox here and hit Next.

  • Now, log in to the Microsoft Purview compliance portal, go to Content search, and click the New search button. Important note: If you are missing the Content search option, it is most likely related to the eDiscovery permissions you set in the previous steps. Changes in the eDiscovery permissions might take even up to 24 hours to apply. 24 hours after you set the permissions (or less, in my case it happens almost instantly) the tool should work just fine. The issue with permissions might also result in the lack of the export/download option later on.

  • A wizard that lets you customize all aspects of a content search opens. First, name your search and go to Locations. This page lets you specify which mailbox data you wish to export. Mind that selecting all locations will cause the tool to search through your SharePoint online and Public Folders database, which might take a long while. If you want to export data from all mailboxes, select Exchange mailboxes only (1). You can further narrow down your search to specific users groups or teams by clicking the link (2) and selecting specific items in a picker pane.

  • Apart from the location filter, the wizard gives you a number filtering options that are available on the Conditions page:query language/region;

  • keywords/phrases (separated by logical operators: AND, OR, NEAR, NOT, etc.)

  • conditions, including related to time, message fields & properties and many more (use the Add condition button).

If you want to export all mailbox data, just do not add any conditions or keywords.

Those problems; unfortunately, do not have a quick fix. In fact, using a bit outdated PST file type for backup or archiving purposes is not a good idea. To successfully backup and archive your Office 365 mailbox and SharePoint data without all those problems, you would require a third party tool, like CodeTwo Backup for Office.

All in all, using PST files as the backup method is rather a bad idea. Their proneness to corruption, low to none item-search effectiveness, and poor management options make this method rather unsafe and hazardous for backup or migration purposes.

I can propose two solutions. Both require PowerShell. You can use New-MailboxExportRequest to export emails and follow up with Search-Mailbox with the -DeleteContent switch. Just remember to use the same search parameters. This way you will export chosen emails to PST and delete them from source mailboxes afterwards. Another option is to use Search-Mailbox cmdlet with -TargetMailbox, -TargetFolder and -DeleteContent attributes. Instead of generating a PST file, it will result in copying chosen emails to another mailbox and deleting from the source. You can check the following articles if you need help with the cmdlets I mentioned:

Usually, you don't need to backup Office 365 mailbox (outlook.office365.com) because it is stored in the cloud and you can access your emails and other data from any place in the world. In some cases, for example when changing jobs and as the result moving to another Office 365 account, you may want to have a local copy of your emails. Here's how:

If you have not created an account yet, you can connect your pst backup to a new account during the setup process. This option is available only for the manual account configuration, which is why this method is best suited for administrators and experienced Outlook users who know the Server Information and other important details.

What about shared mailboxes? The documentation says shared mailboxes start out at 50GB.If I create multiple shared mailboxes (info, support, subscribe) all used by the office administrator, does that mean the admin has in addition to their UserMailbox they have 200GB storage?

I noticed this as well. I had assumed that using the registry method would automatically untick the option. However it still remains. I wanted to avoid having to set this option every time I setup a new user.

Step 3. Then you can see all the apps that can be backed up. Find and chekc the "Microsoft Outlook" option. Select the mailbox addresses you want to make a backup of the mails, contacts or calendars and click "OK".

The next step is using the Archive option to secure your OST file or create a backup. This method can be a bit complicated for someone who hasn't done it before, but it's not impossible. So, here's how you can do it:

It is an effective solution for users who want to backup or migrate Office 365 data. I was looking for a solution to backup office 365 In-Place Archive data locally. I tried multiple online tools to back up my data but nothing has worked for me. Later, someone suggested to me Office 365 Outlook Backup software. Well, this tool works fantastic to download In-place archive mailbox data and performs saving instantly.

I have not been able to find any good explanations of which of the following options to choose when exporting a full email account to a .pst backup (that would eventually be loaded as a data file on a different instance of Outlook).

Every result showing this, advises the first option, however I don't want to err on the side of data-loss and I'm doing a one time backup before changing mail servers. Which of the 3 options below are best for that?

The software allows to backup O365 mailboxes in a completely safe and secure manner. Even a single bit of information (like client name) is not shared by the application. Similarly account credentials are not saved, neither on our server nor on any third party system.

Being a professor, I receive emails from various students regarding research papers, assignments, etc. Due to overloading mails, I wanted to empty my office 365 mailbox without deleting any of its content. Thanks to the Office 365 backup software by SysInfoTools, it helped me save my crucial emails in PDF and DOC file formats. Now, I can view & edit my emails whenever I want.

Office 365 Email Backup Solution helped me with something that I didn't even think was possible in the first place. I am well-satisfied with the way it backs up the Office 365 mailboxes data. Archiving was never so easy for me, and I got so many saving options along with it.

There is, however, a better option for exporting Exchange mailboxes to PST files: you can do that on the Exchange server itself, using a Mailbox Export Request; you can also do that in bulk, exporting several (or all) of your mailboxes.

To increase the stability of the Enable search index roaming for Outlook feature, Profile Management saves a backup of the last known good copy of the search index database in case it becomes corrupted. Citrix recommends the following two policies (see image below) to be configured within Citrix Studio:

You can configure data filtering options to define which data should be imported to Office 365 user mailboxes. On the Filter your data step, specify whether you want to filter your data. Select one of the options:

However, this method can't be considered a sufficient replacement for Office 365 backup solutions. NAKIVO Backup & Replication is a universal data protection solution that supports Office 365 backup and recovery. The solution can back up Exchange Online, including email messages, OneDrive, and SharePoint Online data. You can recover entire mailboxes or individual emails to source mailboxes or to the mailboxes of other Office 365 users.
